Universal Home Cooling is a trading name of Universal Cooling South Limited, a company registered in England and Wales under company number 16258997. For the purposes of data protection law, Universal Cooling South Limited is the data controller responsible for your personal information.

The information we collect
Information you give us. When you complete an enquiry form, use the quote finder, request a survey, book a service or contact us, we may collect your name, phone number, email address, postal address or town, details about your property and the rooms you want to cool or heat, and anything else you choose to tell us.
Information we collect automatically. When you visit our website we may collect your IP address, browser and device information, and details of how you use the site, through cookies and similar technologies.
Information from third parties. We may receive information from finance providers if you apply to spread the cost, and from review platforms if you leave a review.
How we use your information and our lawful bases
We use your personal information to respond to your enquiry and provide quotes, to carry out installations, maintenance and other services, to arrange finance where you request it, to manage our relationship with you including service reminders and follow up, to send you marketing where you have agreed or where you are an existing customer and have not opted out, to meet our legal and regulatory obligations including accounting and warranty records, and to improve our website and services. Depending on the activity, our lawful basis is the performance of our contract with you, taking steps before entering a contract, your consent, our legitimate interests in running our business, or compliance with a legal obligation.
Marketing
We will only send you marketing messages where we are allowed to. You can opt out at any time using the unsubscribe link in any email or by contacting us. Opting out of marketing will not stop service messages relating to work we are carrying out for you.
Sharing your information
We do not sell your personal information. We may share it with our engineers and approved subcontractors who carry out work for you, manufacturers and suppliers where needed to order or warranty equipment, finance providers where you apply for finance, our IT, website, hosting and software providers who process data on our behalf, professional advisers such as accountants and insurers, and government bodies, regulators or law enforcement where we are required to by law. Where third parties process data on our behalf, they do so under contract and only on our instructions.

How long we keep your information
We keep your information only for as long as we need it. Enquiry data that does not lead to a contract is held for a reasonable period and then deleted. Customer records are kept for the length of our relationship and for as long as needed afterwards to meet legal, warranty, tax and accounting obligations, which is typically six years.

We use appropriate technical and organisational measures to protect your personal information against loss, misuse and unauthorised access. No method of transmission over the internet is completely secure, but we take reasonable steps to keep your data safe.

Transfers outside the UK
Most of your information is stored and processed within the UK. Where any provider we use stores data outside the UK, we make sure appropriate safeguards are in place as required by data protection law.
Children
Our services and website are aimed at homeowners and are not directed at children. We do not knowingly collect information about children.
